An AI Accounts Payable Clerk that reads every invoice before anyone approves it.
Vendor bills arrive as PDFs on WhatsApp, scans in email, and paper on someone's desk — then get typed into Tally by hand, approved on trust, and paid late. The AI AP Clerk reads each one, codes it, matches it against the PO and the goods received, flags what doesn't add up, and files it correctly for GST. Your accountant approves. It never does the typing.
Payables is where money leaks quietly
Nobody notices a payables problem the way they notice a lost sale. It shows up later — as a duplicate payment, a blocked input tax credit, or a disallowed expense at assessment.
Someone retypes every bill
Vendor name, GSTIN, HSN, line items, tax split, totals — keyed in by hand from a scan, at a rate of a few minutes and a few errors per invoice.
Nobody checks the invoice against reality
The PO said one price, the goods received note said a different quantity, and the invoice says something else again. Without a match, you pay whatever was billed.
Credits blocked and expenses disallowed
An invoice that never appears in GSTR-2B costs you the input tax credit. A micro or small vendor paid past the statutory deadline can cost you the deduction entirely.
Watch an invoice go from WhatsApp to approved entry
Two minutes, one real bill — no slide deck.
Want it walked through live instead? Bring five of your own invoices to the audit call.
- The bill arrives anywhere. A dedicated inbox, a WhatsApp forward, a scan, or a vendor portal drop — the clerk picks it up from wherever your vendors actually send things.
- It reads the document. Vendor, GSTIN, invoice number and date, line items, HSN, tax split, and totals get extracted by meaning rather than by template, so a new vendor's layout needs no setup.
- It codes and matches. The clerk predicts the GL account and cost centre from your own history, then runs a two- or three-way match against the purchase order and the goods received note.
- It flags only the exceptions. Duplicates, price and quantity variances, missing IRN, a GSTIN that doesn't validate, a bill absent from GSTR-2B — these stop and wait for a human. The clean ones don't.
- A human approves, the books update. Approval routes by amount and department with a full audit trail, then the entry posts to Tally or Zoho and the payment is scheduled against its due date.
The AP stack the enterprises run, sized for an MSME
Every capability below is standard in enterprise AP suites. The difference is that this one is configured around your process and your books — not a two-year rollout.
AI invoice capture
Machine-learning extraction that reads fields by their role on the page, so it handles a vendor's format without being trained on a sample first.
Predictive GL coding
Account, cost centre, and tax treatment suggested from how you coded the same vendor and the same expense last time.
Two- & three-way matching
Invoice against purchase order, and against the goods received note, so you only pay for what was ordered and actually delivered.
Duplicate & fraud checks
The same bill submitted twice, a near-identical amount from a new vendor, or a changed bank account gets held before it reaches payment.
Approval routing
Rules by amount, vendor, department, or GSTIN, with reminders for whoever is holding things up and a complete audit trail behind every approval.
Exception queue
One screen for everything that needs a decision, instead of a mailbox where held invoices quietly become overdue invoices.
Payment scheduling
Due dates, early-payment terms, and statutory deadlines on one calendar, so nothing gets paid twice and nothing important gets paid late.
Two-way books sync
Entries post to Tally or Zoho Books and stay reconciled both ways — your existing books remain the single source of truth.
The checks global AP platforms don't run
This is where an imported AP tool stops being useful. Every rule below is wired into the clerk's exception logic.
- GSTR-2B matchingEvery purchase invoice is reconciled against your GSTR-2B before approval, so input tax credit isn't claimed on a bill your vendor never filed — and isn't quietly lost either.
- E-invoice IRN validationFor vendors covered by e-invoicing, the clerk checks that a valid IRN exists on the invoice rather than taking the PDF at face value.
- GSTIN verificationVendor GSTINs are validated and monitored, so a cancelled or mismatched registration surfaces before you pay against it.
- TDS deductionWithholding identified and applied by section — 194C on contractors, 194I on rent, 194J on professional and technical fees, and 194Q on purchases of goods where your turnover crosses the threshold.
- Reverse charge & self-invoicingTransactions that attract RCM are identified and the self-invoice raised, instead of being noticed at year end.
- MSME 45-day clockPayments to micro and small vendors are tracked against the timeline in Section 15 of the MSMED Act, 2006 — the clock that starts on acceptance of goods, not on the invoice date.
- Section 43B(h) exposureUnder the Finance Act 2023, effective from AY 2024–25, an amount owed to a micro or small enterprise is deductible only if paid inside that statutory window. The clerk escalates those bills before the deduction is lost for the year.
We configure these against your registrations and vendor master during implementation. Nothing here replaces your CA's sign-off — it makes sure the right invoices reach them in time.
Honest about what the global platforms do better
Bill, Ramp, Tipalti, Stampli, Medius and Coupa are strong products. They're also built for a different buyer.
Cross-border payouts at scale
Mass payments across many currencies, entities and tax jurisdictions — genuinely best-in-class, and the right choice if that's your problem.
Domestic payables done properly
One or a few GSTINs, Indian vendors, Indian statutory deadlines, and the books you already keep.
Deep enterprise ERP suites
Built around SAP, Oracle and NetSuite, with the multi-entity depth a large finance team needs.
Tally and Zoho as the system of record
Your accountant keeps working where they already work. We don't ask an MSME to migrate its ledger.
Rollouts measured in quarters
Published comparisons put the simpler SMB tools at one to two months and the enterprise suites at six to eighteen.
One journey live, then the next
Scoped inside our 90-Day Sprint, starting with the invoice flow that costs you the most today.
Generic tax engines
Sales tax and VAT logic built for their core markets. GSTR-2B, IRN, RCM self-invoicing and TDS sections are not what they're for.
Indian compliance in the exception logic
The checks above run before approval, not as a reconciliation exercise at quarter end.
Questions we get about AP automation
Do we have to leave Tally?
No. Tally or Zoho Books stays your system of record. The clerk works in front of it — capturing, coding, matching and routing — then posts approved entries and keeps the sync two-way. Your accountant carries on working where they already work.
What is three-way matching, and do we need it?
It compares three documents: the purchase order (what you agreed to buy, at what price), the goods received note (what actually arrived and was accepted), and the vendor invoice (what you're being billed). If you buy physical goods against POs, it's the single most effective control against overbilling and short delivery. If you're services-only, two-way matching against the PO is usually enough.
Does it replace our accountant?
No, and it isn't meant to. It removes the typing, the chasing, and the checking — the work that doesn't need judgement. Approval, exception decisions, and the final books stay with your team. In practice your accountant handles a lot more invoices without the data entry.
How does it handle a vendor invoice format it hasn't seen?
Modern extraction identifies fields by their semantic role on the page rather than by a stored template, so a new vendor's layout generally works without setup. Where a format is genuinely unusual, it goes to the exception queue and the clerk learns from how you correct it.
Can it stop duplicate payments?
That's one of the first controls we switch on. The same invoice number from the same vendor, a near-identical amount and date from a slightly different vendor name, or a bill already paid under another reference all get held before payment rather than found during an audit.
What about GST input tax credit?
Purchase invoices are reconciled against your GSTR-2B before approval. Anything that doesn't appear, or appears with different values, is flagged so you can chase the vendor while it still matters — instead of discovering the gap when the credit has already lapsed.
Why does the MSME 45-day rule matter to us as a buyer?
Section 43B(h), introduced by the Finance Act 2023 and effective from AY 2024–25, allows a deduction for amounts owed to micro and small enterprises only if payment is made within the timeline set by Section 15 of the MSMED Act, 2006. Miss it and the expense is disallowed for that year. The clerk tracks the clock from acceptance and escalates before the deadline, but your CA remains the authority on how it applies to you.
How long until it's live?
The first flow — usually capture, coding and approval for your highest-volume vendors — goes live in weeks. Matching, compliance checks and payment scheduling follow, scoped as part of our 90-Day Sprint. We sequence it so the control that saves you the most money ships first.
Bring five invoices. We'll show you what the clerk sees.
Book a 30-minute Systems Audit. We'll run your own vendor bills through the process live — capture, coding, matching, and the compliance checks — and tell you honestly where automation pays for itself first.
